Define the shared design.

Decide which colours, logos and surface details will be shared across the team. Keep one reference design as the common starting point.

Separate the shared artwork from the details that change for individual players. This makes the review easier to follow.

Put variations in one list.

Record each player on a separate line. Include the identifier, name or number, handedness, target specifications and quantity. Avoid using several messages as the only record of those changes.

Use consistent spelling and formatting. If a field is undecided, mark it clearly so it can be reviewed before the list is treated as final.

Review before approval.

Check the complete player list against the shared design. Confirm the total quantity and make sure no individual variation has been missed.

Keep a dated copy of the reviewed list with the artwork. Production details, pricing and the delivery plan still need project-specific confirmation.
